When you use MTD4Trade, we collect:

• Account information: your email address and encrypted password (via Supabase Auth)
• Receipt images and extracted data: photos of receipts uploaded through the app, along with supplier names, dates, amounts, VAT, and line-item data extracted by AI
• Manual expense entries: expense details you enter directly, including supplier, category, amount, and date
• Mileage claims: mileage entries you record, including miles driven and dates
• Income data: quarterly income figures you enter for MTD reporting
• Job labels: labels you create to organise your receipts and expenses
• Usage data: anonymous app interaction data to help us improve the service

3. How We Use Your Information

• To provide the MTD4Trade app and its features
• To generate reports and CSV exports for HMRC Making Tax Digital submissions
• To extract data from receipt images using AI (Google Gemini)
• To communicate with you about your account or support requests
• To improve the app based on usage patterns

4. AI Processing

Receipt images are sent to Google Gemini for text extraction and data structuring. Images are processed transiently and are not used to train or improve Gemini's underlying models. You can review and edit all extracted data before saving.

5. Data Storage and Security

All data is stored on Supabase (hosted in the UK/Europe region). Data is encrypted in transit (HTTPS/TLS) and at rest. We implement strict Row-Level Security ensuring each user can only access their own data.

6. Data Sharing

We do not sell your data. We do not share your personal data with third parties except:

• Supabase — database and file storage provider
• Google Cloud (Gemini) — AI receipt data extraction

Your financial data is yours. You control what you submit to HMRC through MTD-compatible software.

7. Your Rights

Under UK data protection law, you have the right to:

• Access your data — export it from the app via CSV
• Correct inaccurate data — edit any receipt or expense entry
• Delete your data and account — contact us to request permanent deletion
• Object to processing — stop using the app and request deletion

8. Cookies

This website does not use tracking cookies. Cloudflare may set essential cookies for security and performance. No personal data is collected through cookies on this site.

9. Changes to This Policy

We may update this policy from time to time. Material changes will be notified via the MTD4Trade app. Continued use after changes constitutes acceptance of the updated policy.
